The Vice Rectorate for Strategy, Coordination & Institutional Affairs plays a central role in supporting the University’s strategic development, institutional alignment, and executive decision-making processes. The division works transversally across schools and departments to ensure coherence between strategic priorities, operational execution, and external institutional engagement. It supports senior leadership in advancing key initiatives, strengthening governance frameworks, and coordinating high-level projects with internal and external stakeholders.
The Junior Manager will support the Vice Rectorate in the implementation and monitoring of strategic initiatives, cross-functional coordination efforts, and institutional projects. The role combines analytical work, project coordination, stakeholder engagement, and hands‑on administrative and operational tasks required to ensure effective execution. This includes preparing presentations and briefing materials, supporting documentation and reporting processes, coordinating meetings, and managing follow‑up actions. It requires strong organizational skills, discretion, attention to detail, and the ability to operate in a fast‑paced institutional environment with a proactive and service‑oriented mindset.

We are looking for a person to join a full‑time position in Madrid – IE Tower.
Your role as Junior Manager will involve
Executive Presentation & Strategic Content Development
Prepare, structure, and refine high‑level presentations, briefing notes, and executive materials for strategic projects under the Vice Rectorate.
Translate complex institutional, strategic, and operational information into clear, structured, and decision‑oriented content.
Develop materials for internal governance bodies, partnership discussions, and institutional stakeholders, ensuring consistency of messaging and visual coherence.
Ensure accuracy, analytical rigor, and alignment with institutional priorities across all documentation produced.
Strategic & Programmatic Project Support
Provide structured coordination and follow‑up for strategic initiatives (e.g., IENYC, partnerships, institutional projects), ensuring milestones and deliverables are met.
Maintain tracking tools and action logs to monitor progress across multiple workstreams.
Conduct benchmarking, data gathering, and synthesis of insights to inform strategic discussions.
Collaborate with project leads and internal stakeholders to ensure quality and timely execution.
Executive & Institutional Operations Support
Support the Vice Rector in managing his agenda, meetings, commitments, and institutional engagements.
Coordinate scheduling with internal and external stakeholders and ensure systematic follow‑up of decisions and action items.
Prepare meeting briefs and maintain organized documentation and tracking tools to ensure effective management.
Execute administrative and operational tasks with efficiency and discretion, supporting logistics related to strategic initiatives when required.
Anticipate coordination bottlenecks and propose practical improvements to workflow and internal processes.
Event & Stakeholder Coordination
Support the planning and execution of selected events led by the Vice Rectorate, ensuring professional standards and effective stakeholder engagement.
Coordinate logistics, materials, communications, and follow‑up documentation to ensure smooth delivery.
Monitor timelines and operational details to ensure quality delivery and minimize execution risks.

We are seeking a highly organized, analytical, and execution‑oriented professional with a strong sense of institutional responsibility. The ideal candidate combines structured thinking and sound judgment with practical execution capabilities and is comfortable operating in environments that require both strategic awareness and hands‑on implementation.
Technical & Presentation Skills
Strong command of Microsoft 365, particularly PowerPoint and Excel, with the ability to create clear, structured, and visually consistent executive presentations.
Comfortable using digital collaboration tools (Teams, SharePoint) and basic data visualization platforms.
Interest in leveraging digital and AI‑enabled tools to enhance efficiency and workflow.
Structured Thinking & Analytical Discipline
Ability to organize complex information, synthesize data, and present insights clearly and concisely.
High attention to detail and commitment to accuracy.
Capacity to support executive decision‑making through well‑prepared, decision‑oriented materials.
Project Coordination & Execution
Strong organizational skills with the ability to manage multiple workstreams, track milestones, and ensure systematic follow‑up.
Methodical approach to documentation, reporting, and task management.
Communication & Institutional Awareness
Excellent written and verbal communication skills in English.
Spanish proficiency will be considered a strong asset.
Professional and confident interaction with internal and external stakeholders.
Discretion and sound judgment when handling sensitive institutional information.

Bachelor’s degree required; Master’s degree preferred (in Business, Public Administration, Management, International Relations, Higher Education, or a related field).
Minimum 3 years of relevant experience in operations, program coordination/management, consulting, or a similar role (experience in higher education or complex institutional environments is highly valued).
Demonstrated experience preparing executive‑level presentations.
Experience working with senior leadership or executive stakeholders will be highly valued.
Advanced command of English is compulsory; Spanish is a strong asset.
