As our business continues to grow, we are seeking a highly organized Back Office Administrator to join our team on a 6-month maternity cover contract, supporting our sales and after-sales operations. If you have prior administrative experience in the Costa del Sol real estate sector and enjoy structured, detail-oriented work in a dynamic, fast-paced office environment, this role could be a great fit. About the Role: This is a key in-office administrative role focused on supporting our agents and management team behind the scenes. Your work will help ensure that transactions run smoothly, documentation is accurate, and clients receive a professional experience from reservation through to completion. This is not a sales role - it is a structured back-office position ideal for someone who thrives on organization, coordination, and accuracy. KEY RESPONSIBILITIES: Administrative & Back Office Support: Manage and update client and transaction data in our CRM (Pipedrive) Prepare and organize reservation documents, KYC forms, and transaction files Coordinate documents for e-signatures and proper record keeping Assist with invoicing and administrative finance coordination Maintain accurate internal records and compliance documentation After-Sales Support: Support follow-ups with lawyers, developers, and partner agencies Help track transaction timelines from reservation to completion Ensure required documentation is collected and properly stored Assist in keeping transactions organized and on schedule Office Coordination: Provide administrative support to the sales and management team Support internal communication and coordination Assist with general office tasks as required WHAT WE LOOK FOR: Previous office administrative experience in Costa del Sol real estate (essential) Fluent English and Spanish (spoken and written) Highly organized with strong attention to detail Strong multitasking and prioritization skills Comfortable using CRMs and digital document tools Professional, reliable, and discreet Positive team-player attitude WHY JOIN HI HOMES?
